El Dorado Fire Rescue ("EFR," "we," "us," or "our") respects the privacy of visitors to our website at eldoradofirerescue.org. This Privacy Policy explains what information we collect, how we use it, and the limited circumstances under which we share it.
Information We Collect
We collect information in three ways:
- Contact-form submissions. When you send us a message via our contact form, we receive the name, email address, optional phone number, subject, and message you provide.
- Member portal accounts. Active EFR members and Auxiliary members have accounts in our private member portal. The portal stores name, contact information, certification records, training history, shift assignments, and other operational data necessary to run the department. Member-portal data is never visible to the public website.
- Anonymous web analytics. We use Cloudflare Web Analytics to understand which pages visitors view and how they navigate the site. Cloudflare Web Analytics is privacy-friendly: it sets no cookies, does not track individuals across sites, and does not collect IP addresses, screen size, or other personal identifiers. We do not run Google Analytics, Facebook Pixel, or similar trackers.
How We Use Your Information
- To respond to questions, feedback, or volunteer inquiries you send us via the contact form.
- To operate department activities (scheduling, training, certifications, communications) for active members.
- To improve the website by understanding which pages and features visitors find useful.
We do not sell, rent, or trade your personal information. We do not use your information for advertising or send unsolicited marketing email.
How We Share Your Information
We share information only in the following limited circumstances:
- Within EFR. Contact-form submissions are routed to a department leader who responds. Member-portal data is accessible only to authorized officers and administrators within the portal's permission system.
- With service providers. We use Resend to deliver email and DigitalOcean to host this website. These providers process data only as needed to provide their services and are bound by their own privacy commitments.
- When required by law. We may disclose information if compelled by valid legal process or to protect the safety of our personnel or the public.
- With mutual-aid partners. Operational information may be shared with the Santa Fe County Fire Department and neighboring agencies as required by mutual-aid agreements and applicable laws.
Cookies
The public portion of this website uses a single session cookie that is set when you first visit the site and is required for security features (CSRF protection on the contact form). It does not contain personal information and is removed when you close your browser. Logged-in members of the portal have additional session and authentication cookies necessary to maintain their session.
Data Retention
Contact-form messages are retained for as long as necessary to respond to your inquiry and for our internal record-keeping (typically several years). Member-portal records are retained while you are an active member and for a period afterward as required by department policy and applicable laws governing volunteer fire-department records.
Your Rights
If you would like to know what information we hold about you, request a correction, or ask us to delete your information, contact us at eldoradofire@comcast.net or via our contact form. We will respond as quickly as we can.
Children's Privacy
This website is not directed to children under 13, and we do not knowingly collect information from children under 13. If you believe a child has submitted information through the contact form, please contact us so we can delete it.
Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be highlighted on the home page.
